Get your organization started is offered as a Software as a Service (SaaS) from servers located in Canada. Participating organizations subscribe to as an institution for a basic annual fee, plus any additional services* as needed.

Early Steps: No Ongoing Commitment


ePortfolio Exploration Session

Spend a half day or a full day exploring the potential fit between ePortfolios, your internal and external stakeholders AND your learners.


  • Prior consultation and alignment of the workshop content to meet the needs of your particular organization, including examples from similar organizations.
  • A blank planning workbook to be completed by participants as part of the workshop.

Hands on Taster Workshop

The hands-on workshop normally takes place over a full day (6 contact hours), giving participants a chance to touch the parts of that will be relevant to their needs.

Participants will start to build their own ePortfolios, using information and artefacts they have gathered ahead of time and brought in on memory stick, such as:

  • An electronic workbook supplied by Learning Agents completed by participants ahead of time, whose contents can be copied into their ePortfolios
  • Résumé and other electronic documents
  • Scanned certificates and other documents
  • Photos from workplace, academic or volunteer activities

This content will be supplemented by one or more of these multimedia options:

  • Editing/uploading candid and posed photos taken on the day of the workshop
  • Editing/uploading audio/video recordings of elevator speeches recorded on the day of the workshop
  • Embedding multimedia from other sources
  • Embedding LinkedIn profiles, for participants with LinedIn accounts

Other content may include:

  • Learning Plans and Continuing Professional Development (CPD) logs
  • Learning Journals
  • Self-assessment tools

Participants will walk away at the end of the day with their own ePortfolios, which they can keep for themselves for a minimum of three years as part of the unaffiliated "Individuals" institution, or later transfer to your own institution, should your organization commit to subscribing as an institution.

Later Steps: Annual Commitment


Sandbox for Proof of Concept (SaaS Subscription)

Your organization can move forward at low risk, by commissioning a small scale project team to create "proof of concept" ePortfolio solutions for particular programs, courses, or even parts of courses (e.g. practicum).

This may involve building frameworks, templates, exemplars and other resources for limited numbers of participants inside their own institution, using default configurations inside

This only requires a commitment of one year subscription at the minimum institutional level for the pilot phase.

If you decide not to continue, your learners' accounts can be moved to our unaffiliated "Individuals" institution and remain active for at least three years

Separate Server (Offsite)

Perhaps your institution will decide that it needs a level of customization that exceeds the flexibility of the multi-institution

In this case, you can contract to have a unique Mahara server set up for your institution in the same Canadian server environment as

This will provide much greater control and flexibility. The cost will increase substantially, but because Mahara is open source technology, the bottom line will still compare very favourably with proprietary alternatives.

Full Implementation (SaaS Subscription)

If the proof of concept is successful, your organization can move toward implementation and ongoing sustainability.

This can include, if needed:

  • Theming the online institution space with the organization's brand identity
  • Subscribing to video tutorial subscription packages for generic functions (if needed; full text documentation is available at
  • Custom video tutorials and text documentation
  • Training services
  • Help Desk
  • Outsource institutional admin services

Moving from pilot to full implementation changes the subscription level from minimum size to the size corresponding to the number of learners and other participants such as teachers.

Separate Server (onsite)

There may be reasons that your separate Mahara server must reside within your network.

Learning Agents will work with your IT department regarding server requirements, installation, configuration, customization, training and ongoing maintenance. This may result in an annual Service Level Agreement or your organization may decide that the IT department will take over ongoing support of the system.
